Communicating confidentiality should include three clear points: responses are confidential/anonymous as feasible, data will be reported only in aggregate, and no individual will be identifiable in reports. It helps to explain how the data will be handled—access limited to authorized DEOCS analysts, secure storage, and removal of any identifying information before sharing results with leaders. If possible, indicate whether a neutral or independent system is used to reinforce neutrality.

This approach supports honest feedback and helps identify what’s working well and what needs improvement. Choices that propose sharing individual responses with everyone, instantly making responses visible to all staff, or shielding leaders from feedback undermine trust and discourage candor, which is why they don’t fit.
